Certified probate translation costs for law firms

Probate translation costs were the reason a probate executive rang us fairly cross. She had sent the same file to three suppliers and got back three figures that were nowhere near one another. Wide enough, she said, that somebody was clearly having her on.

Nobody was.

One had priced per page. One had priced per source word. The third had priced per page but assumed a single certified set — and four institutions were waiting on that estate.

Three honest answers to three different questions. She had no way of knowing that, because nobody had ever shown her the working.

We are UK Court Translations, and we have priced legal files for UK firms and registries since 2009. Certified probate document translation costs for law firms are not arbitrary — but they are almost never explained, which makes them awkward to budget and harder still to justify to an executor reading a bill. Here is the machinery underneath.

📌 Quick answer: A certified probate translation quote is built from five things: the volume of text (charged per page or per source word), the language pair, the certification level required, the legibility of the source scan, and the turnaround. Certified copies are usually priced separately from the translation itself. Because per-page and per-word models measure different things, two accurate figures for the same estate file can differ substantially without either being wrong.

Probate translation costs can vary significantly depending on the documents, language pair, certification and turnaround required.

What Drives Probate Translation Costs on a Cross-Border Estate File

Five variables carry nearly all the weight. Everything else is rounding.

Driver What moves the number
Volume of text Not page count alone — how much text sits on each page
Language pair Common European pairs sit lower; rarer pairs carry a premium because the pool of qualified legal linguists is genuinely small
Certification level Certified, notarised and legalised are three different products at three different costs
Legibility Clean digital scans price normally; handwriting and faded seals do not
Turnaround Standard, expedited and same-day sit in separate tiers

💡 The one firms consistently underweight is legibility. A crisp PDF of a Spanish notarial deed and a phone photograph of that same deed contain identical words and are not remotely the same job. One gets read. The other gets deciphered, cross-checked against itself, and half the time referred back for a better copy — after the clock has already started.

Why Probate Translation Costs Differ Between Per-Page And Per-Word Quotes

This causes more confusion in probate instructions than anything else, and it is worth grasping before you compare a single figure.

Per page treats every page as one unit. Easy to budget, easy to authorise — generous to you on dense pages, poor value on sparse ones.

Per source word measures the text itself. Precise, but nobody knows the number until someone has counted.

Comparing probate translation costs therefore requires checking whether each supplier is charging by page or by source word.

➔ Put a real estate file through both. A death certificate is a sparse page: a dozen fields and a stamp. A Spanish escritura runs dense, unbroken text at perhaps six hundred words a page. Per page, those two cost the same. Per word, the deed costs several times more.

📌 So when figures diverge, interrogate the model before you suspect the supplier. On a file of sparse certificates the per-page model wins; on dense deeds the per-word model does. Both are honest. They are simply measuring different things.

Which Probate Translation Costs Can A Private Client Team Actually Control

Half the drivers are fixed by the estate. The other half sit on your side of the desk — and that is where a budget is won or lost.

Fixed by the estate: the source language and how common that jurisdiction is; how many documents the assets genuinely require; whether the will is typed or handwritten; and whether certification must be notarised or legalised abroad. None of these responds to negotiation.

Yours to influence:

  • Scan quality. The cheapest intervention available to any firm, and the most ignored. Flat, colour, full-page images price at standard rates. Angled photographs frequently do not — and re-scanning after a figure is issued is what triggers a requote.
  • Lead time. Expedited tiers exist because they displace other work. Three weeks out instead of three days removes that premium entirely, and it is the most dependable saving on this page.
  • Scope. A long property deed usually matters for its ownership entries and named parties, not its forty pages of standard clauses. Sending the lot when the Registry wants four pages is a decision, not an obligation.
  • Batching. One estate instructed as a set carries a single set-up. The same documents drip-fed across two months carry four, and forfeit the volume position each time. Firms with steady cross-border work can go further and arrange terms across matters rather than file by file.

✔ Over the years, lead time and scan quality alone have explained most of the gap we see between a comfortable disbursement and an uncomfortable one.

Where Probate Translation Costs Increase More Than Firms Expect

Three situations reliably catch teams out, and every one is visible at the outset.

How Handwritten Wills Affect Probate Translation Costs

A holographic will, handwritten by the testator with no notary involved, is the most labour-intensive document in probate work. Deciphering it, verifying the uncertain passages and recording them honestly takes far longer than reading typed text, and no amount of experience makes bad handwriting fast.

Estates Spanning Two Or Three Jurisdictions

Where documents come from several countries, names, property descriptions and defined terms must stay identical across all of them. That consistency is genuine effort rather than a formality, which is why an estate prices differently as a set than as a stack of separate jobs.

Certified Sets Counted As One

The work happens once. Certified sets are physical items, each signed and issued individually. A firm approaching six institutions needs six, and a figure priced on one will always look cheaper than a figure priced on six — which is exactly what happened to the executive in the opening paragraph.

Scoping An Instruction So Your Costs Estimate Holds

Five things worth settling before a figure goes anywhere near a client care letter. Clear scoping helps firms estimate probate translation costs before the figure reaches the client care letter.

  1. Confirm the destination for each document. The Probate Registry, HMRC, a foreign bank and a land registry can each want a different certification level. Scoping once to the highest common requirement beats repeating work later.
  2. Count certified sets against institutions, not documents. The line most often missed at estimate stage and most often queried at billing.
  3. Ask what is excluded. Certification, extra sets, hard copies and courier are variously bundled or itemised across the market, and “cheapest” usually means “fewest inclusions”.
  4. Fix the validity period. A figure built on a clean scan is not the same figure once a poorer copy replaces it.
  5. Name the uncertain variable. If the page count depends on documents still travelling from abroad, put that in the estimate. An estimate that flags its own unknown is far easier to revise than one that looked fixed.

Frequently Asked Questions

Can Translation Be Recovered As An Estate Disbursement?

It is normally treated as a proper disbursement where the documents are necessary to administer the estate. How it is presented in your bill and whether it survives assessment are matters for your costs draftsman — worth confirming on higher-value estates before you commit.

Do You Invoice The Firm Or The Estate Directly?

Either, as long as it is agreed at instruction. Firms with regular cross-border work usually prefer a monthly account against matter references, which keeps each disbursement traceable to its file without separate authorisations every time.

Is Vat Charged On This Work In A Probate Matter?

Translation supplied to a UK business is a standard-rated service, so VAT normally applies. Whether it is recoverable turns on your firm’s own position rather than the estate’s, which makes it a question for your finance team.

What Happens If A Document Turns Out To Be Longer Than It Looked?

You hear about it before we proceed, never afterwards. Where a scan understated the content — a double-sided page, an annex nobody spotted — the revised figure goes to you for approval first. Nothing beyond the approved scope is produced without a decision from you.

Can A Figure Be Given Without Seeing The Documents?

Only as a range, and a wide one. Text density and legibility cannot be judged from a description, and they are two of the five drivers that matter most. Once the file can be seen, a fixed figure is usually straightforward the same day.

Talk To Us Before The Figure Goes Into Your Client Care Letter

A translation line in a costs estimate should be defensible to the executor who eventually reads it. That means knowing which variables drove it, which were avoidable, and precisely what sits outside it.

We price probate files for private client departments across the UK — single certificates through to estates running across several jurisdictions — and a good deal of what we do at that stage is tell firms where a file can be scoped down. We will also say where a cheaper route weakens the estate, and where you need nothing further at all.

Send us your document list for a fixed quotation with the institutions and your deadline noted, and we will confirm the scope, the sets required and an itemised figure before anything begins.
